Position Overview
This position is responsible for comprehensive office asset management, including maintaining an accurate asset register, implementing tracking systems, and conducting regular physical verifications. It oversees the full asset lifecycle from acquisition and maintenance to disposal, ensuring compliance and efficient vendor management. Additionally, the role supports daily facilities operations and administrative tasks, including staff onboarding/offboarding and coordinating office upkeep and ad-hoc projects.
Role & Responsibilities
Office Asset Management - planning the project schedule for
Asset Inventory and Tracking:
- Creating and maintaining a comprehensive asset register. This involves documenting all office assets, including details like description, serial number, purchase date, cost, location.
- Implementing a system for asset tagging and identification. This will involve using barcodes (issued by Finance), or other methods to easily identify and track office assets.
- Conducting physical asset verifications. This ensures the accuracy of the asset register and helps identify missing or misplaced items
Asset Lifecycle Management:
- Managing the acquisition and procurement of new assets. This includes evaluating needs, researching options, and managing the purchasing process.
- Overseeing the maintenance and repair of assets. This involves scheduling regular maintenance, responding to repair requests, and managing vendor relationships.
- Maintain accurate and up-to-date asset records, including acquisition, disposal, and maintenance history
- Managing the disposal of obsolete or damaged assets. This includes determining the appropriate disposal method, ensuring compliance with regulations, and managing the transfer or sale of assets
Daily Facilities Operations
- Handle day-to-day operation for office administration duties, including answering of external calls, issuing of stationeries, portable microphones/projector/laser pointers, etc
- Handle the Onboarding and Offboarding of staff matters such as assisting of issuing photo ID to staff and clearance eg. collection of access card / photo ID
- Daily check to ensure tidiness of the office, panty, and meeting rooms
- Assist in ad-hoc project such as assist in carrying out minor A&A works, power shutdown, fire drill exercise including preventive maintenance and repair work
- Other ad-hoc administrative and facilities duties as assigned
Requirements
- Minimum GCE `O' Level
- Minimum 3 years related experience
- Proficiency in written and spoken English
- Proficiency in Microsoft Office
- Hardworking, efficient and able to multi-task.
